BOOKING TERMS & CONDITIONS
Bespoke Luxury Tours in Provence
These Booking Terms & Conditions form part of the contract between [Your Company Name] (“the Company”) and the client (“the Traveller” or “Client”).
1. Bespoke Nature of Our Services
1.1 All tours offered by the Company are bespoke and tailor-made.
1.2 Each tour is created specifically for the Client based on preferences, travel dates, group composition, and requirements.
1.3 Once supplier arrangements are secured, services cannot be resold, reused, or reassigned to another client.
2. Deposit & Payment Terms
2.1 To confirm a booking, a non-refundable deposit of 30% of the total tour price is required.
2.2 The remaining balance is payable no later than 45–60 days prior to departure, as stated on the booking confirmation.
2.3 By paying the deposit, the Client confirms acceptance of these Terms & Conditions.
2.4 Failure to pay the balance on time may result in cancellation of services, subject to the cancellation policy below.
3. Purpose of the Non-Refundable Deposit
3.1 The non-refundable deposit secures non-refundable or partially refundable supplier commitments, including but not limited to:
  • Chauffeur or chauffeur-guide services
  • Private transportation
  • Experiences and activities
  • Restaurants and venues
3.2 It also protects availability during peak travel periods in Provence.
3.3 These costs are incurred specifically for the Client’s tour and are therefore non-refundable.
4. Peak Provence Travel Periods
4.1 Peak periods generally include May–September (highest demand: June–August), public holidays, festivals, harvest, and lavender season.
4.2 Stricter supplier payment and cancellation conditions may apply during these periods.
5. What Is Included & Not Included
5.1 Included
Unless expressly stated otherwise, the tour price includes:
  • One fully bespoke tour programme
  • Services of a professional chauffeur or chauffeur-guide
  • Private transportation for the group and confirmed luggage
  • Pick-up and drop-off from the Client’s location within the agreed service area
  • All fuel, parking, tolls, and applicable taxes
  • Coordination and booking of included services
  • One round of reasonable itinerary adjustments prior to final confirmation
5.2 Not Included
Unless expressly stated otherwise, the tour price does not include:
  • All meals and drinks
  • Accommodation
  • Entrance tickets and admission fees
  • Personal expenses
  • Gratuities
  • Travel insurance
  • Other transportation not included in the confirmed itinerary
6. Chauffeur / Chauffeur-Guide Service Hours & Overtime
6.1 Chauffeur or chauffeur-guide services are provided for the hours specified in the confirmed itinerary.
6.2 Where service hours are exceeded, the Company will, if possible, offset the time on another day.
6.3 Overtime of €100 per hour,  applies only if:
  • The additional time cannot be reasonably offset; or
  • The Company cannot extend service hours due to pre-existing commitments.
6.4 Clients will be notified in advance wherever reasonably possible, and overtime charges will be confirmed in writing or added to the final invoice.
7. Changes to Your Booking
7.1 Requests for changes after confirmation are subject to availability and supplier conditions.
7.2 Changes requiring rebooking may incur additional costs.
7.3 Significant modifications may be treated as partial or full cancellation.
8. Cancellation by the Traveller
8.1 Cancellations must be in writing.
8.2 The non-refundable deposit will be retained.
8.3 Additional cancellation charges may apply depending on timing and supplier terms.
8.4 Comprehensive travel insurance is strongly recommended.
9. Third-Party Suppliers
9.1 The Company acts as a tour operator and coordinator for third-party services.
9.2 All services are subject to supplier terms.
9.3 Liability is limited under French law.
10. EU Package Travel Directive
Bookings may be protected under EU Package Travel Directive (EU) 2015/2302, ensuring consumer rights and transparency.
11. Your Tour
11.1 Start Times and Punctuality
We look forward to welcoming you and your guests at the agreed time. If you are running late, please notify us—we will agree to wait. Please note that significant lateness may prevent full delivery of the tour. Tours end at the scheduled time regardless of start time.
11.2 Late Guests
If any guests are late, the designated tour leader (the main guest who organised and liaised with IdreamProvence ) decides whether the tour starts without them. No-shows are non-refundable.
11.3 Pick-Up / Drop-Off
Private vehicle tours will use the pickup and drop-off locations on the booking form unless otherwise agreed. If you provide your own vehicle, drop-off should occur at the same location.
12. Changes Due to Unforeseen Circumstances
12.1 Tours may change or be cancelled due to:
  • Extreme weather
  • Strikes, protests, demonstrations
  • Traffic delays
  • Security limitations
The Company will update the Client as soon as possible. Please check your email the night before travel for updates.
12.2 No refunds are given for:
  • Shortened, changed, or unavailable tours
  • Missed transport (taxi, bus, train, flight, boat, cruise)
  • Sites that cannot be visited
Health and safety remain the top priority.
13. Photographs
Photos provided are indicative of locations and services and do not guarantee specific sites or experiences.
14. Luggage and Personal Items
The Company is not responsible for loss, theft, or damage of luggage or personal belongings. Clients should secure their items at all times.
15. Required Documents
Clients are responsible for valid passports, visas, or ID cards. No refunds will be provided for lack of proper documents.
16. Liability and Disclaimers
16.1 Changes or Cancellations: Subject to unforeseen circumstances, extreme weather, operational reasons, or security requirements.
16.2 Complaints: Should be addressed to idreamprovence@gmail.com.
16.3 Group Tours: Clients must remain with the tour. Rescue fees for separation are at the Client’s expense.
16.4 Vehicle Details: No guarantees regarding vehicle size or model.
16.5 Special Needs: Wheelchairs, car seats, dietary requirements must be requested in advance. Additional charges may apply.
16.6 Personal Belongings and Insurance: The Company is not liable for loss or theft; personal insurance is recommended.
16.7 Conduct: Disruptive or offensive behavior may result in removal from the tour without refund.
16.8 Force Majeure: Tours may be changed or cancelled for extreme weather, operational issues, or security reasons. No compensation is owed.
16.9 Third-Party Services: Services by third parties may be substituted at comparable levels if unavailable.
16.10 Punctuality: Clients must arrive on time. Tours may proceed without late passengers; no compensation is owed.
16.11 Photography: Marketing photos may be taken. Notify the Company if you do not consent.
17. Governing Law
These Terms are governed by French law. Disputes fall under the jurisdiction of French courts.
